Introduction to Reports

Reports are a way to show you specified information at a glance. Reports can be used to show specific fields of records in a particular category, i.e., all records of clients in particular city. You can also use reports to find duplicate records, which I will show you how to do later. You can output a list with name and phone numbers only. There are any number of ways to customize this function.

Notice in the picture above which you will see when you click on "Reports" in the application main view. This shows on the right the Database rotg which has the link under it for the "Reports" which is seen on the right of this.

In this particular case several reports have already been saved and they are listed under "Name". You have two sets of buttons on the right of this, "Edit" and "Delete". We will get into this in a little bit.

Here is what an existing report configuration looks like once you have clicked on edit in Reports.Existing Reports This particular report pulls up the records in an order that allows you to easily spot duplicates.

SQL.

On the top is the name of the report and its ID number. We have already covered this. The next thing that appears is the Table with a number assigned to it in order. In this report we have Table 1 selected as "Register". You can select the table to use by clicking on the down arrow drop list. Below that is the "Criterion" field.

This field uses SQL which is the language of database queries. Mouse over Purple "SQL" to see definition. We will give an example later but to fully utilize this you need to have knowledge of SQL query language. Notice that you can select which fields in a table to display in the report as well as the report type you want displayed. You can also change the order in which the fields are displayed.

Reports are mostly used to determine which fields to display in the results. However there are some additional fields which I will cover now. In the following image: Report Criterion you can see the format of the report. Notice the "Criterion" field. The "f" designates that it is a field followed by the number of the field. The field number makes it easier for the application to identify the field. The "!" means that the field is not blank followed by the equals sign with "Oakland" specified. This means only fields with this exact entry. Below this pointed out by the yellow callout, are the fields you want to display.

The search criteria appears in admin search as follows: Search Criteria Scroll down and you will see a purple arrow pointing the field you are searching for. this still needs to be selected. Note: This system was originally intended for a full blown reporting system which is not implemented at this time.

Now scroll down to the bottom where you will see the "Report Format". Notice that "Print Friendly" has been checked. Keep in mind that reports is mostly used to select which field you want to display in the results. The results appear here: Report Results Since this is an actual working table certain identifying results have been blurred out. Next we will show you how to set up a field which is using only a partial match.

The following is an example of report format for a partial search:Report Criterion #2 You can see in Table 1 the format for selecting a partial match and on the bottom you see what fields will appear in the results. In this case "LIKE" is used instead of the equals sign and percent signs are used on each side of the specified entry. The field we selected is the name field where we want to pull up all the "Alice" in the the table.

The following is the search criteria format for a partial search from the admin:Search Criterion #2 You can view the partial search by selecting "Alice" in the name field. On the bottom you'll see that the named "Alice" report is selected in the report field. Here again "Print Friendly" is selected.

The following is the search results format for a partial search from the admin:Reports Result #2 Certain areas have been blurred out as this is a real database. Here again "Print Friendly" is selected.

Where reports really comes in handy is when you need to add more than one table in the report. Let's say you have record with phone numbers and another with purchase history and you want to display the purchase history with the phone number so you can easily call the customer and have their history in front of you. This makes it easy to do.
